About PHM Group

Founded in 1992, PHM Group is a property services group with a mission to care about people by taking care of their surroundings. The group consists of over 150 local companies operating in Finland, Sweden, Norway, Denmark, and Germany. With a broad service offering covering property maintenance, management, and cleaning services, PHM Group aims to be a full-service partner for residential and local properties.

Following significant private equity investments and over 100 acquisitions since 2020, PHM Group has grown rapidly, generating over EUR 700 million in revenue and employing more than 8,000 people. The company’s vision is to become the leading local property services partner in all operating countries.

Managing Complex Reporting Across Many Entities

With more than 150 local companies and around 200 legal entities, PHM Group faces a highly complex reporting environment. Maintaining harmonized, structured data flows across numerous operating units is critical for efficient management and control. At the core of this environment is Naviloq, which serves as the group’s data warehouse and reporting platform.

Petri Pellonmaa, Group CFO at PHM Group, describes their approach:

“It is important for us to get reliable and comparable data efficiently from the acquired companies immediately after the acquisition, so that control over the acquired companies is maintained. With Staria, we have created a flexible model where we are able to combine data from many different sources and from companies that are in different integration phases and harmonize it into an analysable form. Due to rapid changes, flexible cooperation is also crucial to us, which has worked great with Staria.”

Collaborative Reporting and Planning with Naviloq

PHM Group uses Naviloq to enable a structured and collaborative monthly closing and forecasting process involving unit managers, regional directors, and controllers.

Once financial data is uploaded and processed, unit managers receive notifications and follow a standard workflow within Naviloq to review results, provide comments, and respond to clarifying questions. This iterative commenting and review process ensures transparency and alignment before management reporting.

Twice yearly, PHM Group conducts forecast reporting through the same collaborative approach, allowing controllers to assign tasks and engage unit managers directly via Naviloq.

Smooth Transition and Improved Communication

Contrary to expectations, PHM Group found the transition to Naviloq to be smooth and well-received. Unit managers, many of whom are former entrepreneurs with a vested interest in results, appreciated the standardized data source and clearer insights.

Petri Pellonmaa notes the benefits:
“It has made life a lot easier when we have been able to look at the same data source when talking to the units. It has enabled us to concentrate on the issue at hand rather than spending time on figuring out what numbers to talk about and why they differ. Feedback from the units has been really good and our controllers are saving a lot of time.”

Empowering Finance Teams and Supporting Growth

With Naviloq, PHM Group’s finance professionals have shifted their focus from manual report generation to analysis and strategic business partnership. This evolution has enabled the group to scale rapidly without proportionally increasing financial management headcount.

Petri Pellonmaa emphasizes this transformation:
“Our finance professionals have evolved from report generators to business partners and controllers get to be what, to my understanding, a true controller really is; someone who controls how the business is doing rather than just producing the numbers.”

Clear Benefits

The key benefits realised so far by PHM in their Naviloq journey are:

  • Consolidated data across 200 legal entities. Naviloq supports PHM Group’s highly complex reporting landscape by harmonising data from more than 150 local companies into one analysable, structured environment.

  • Faster integration of newly acquired companies. With a flexible data model, PHM can quickly bring new acquisitions into reporting workflows—ensuring immediate insight and control from day one.

  • Streamlined monthly closings and forecasts. Collaborative workflows built into Naviloq allow unit managers, directors, and controllers to review, comment, and align before management reports are finalised.

  • Improved transparency and focus. Teams across regions can work from the same data source, eliminating time wasted on clarifying inconsistent figures and instead focusing on real business issues.

  • Positive user adoption across business units. Former entrepreneurs in unit manager roles have embraced Naviloq’s structure and clarity, strengthening engagement with financial results.

  • Elevated role of finance professionals. Controllers have shifted from manual data tasks to meaningful business analysis—acting as true business partners across the organisation.

  • Scalable finance operations. PHM has maintained control and reporting quality through rapid expansion without a proportional increase in finance headcount.

“Naviloq has made life a lot easier when we have been able to look at the same data source when talking to the units. It has enabled us to concentrate on the issue at hand rather than spending time on figuring out what numbers to talk about and why they differ. Feedback from the units has been really good and our controllers are saving a lot of time.”

 A Must for Fast-Growing, Multi-Entity Organisations

PHM Group’s experience with Naviloq shows how a robust, collaborative BI and planning solution can keep pace with rapid business growth. With more than 100 acquisitions since 2020, the ability to integrate and align diverse companies quickly has been essential. Naviloq enables structured, scalable reporting and planning—empowering finance professionals to focus on performance rather than process.

As Petri Pellonmaa puts it:
“Our finance professionals have evolved from report generators to business partners and controllers get to be what, to my understanding, a true controller really is; someone who controls how the business is doing rather than just producing the numbers.”
